Terms of Service

1. Acceptance of Terms

By accessing or using OpsBoard ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.

These Terms apply to all users of the Service, including Coordinators, Role Leads, and Volunteers. Coordinators are solely responsible for their events and the volunteers they manage through the Service.

2. Description of Service

OpsBoard is a software platform that enables event organizers ("Coordinators") to coordinate volunteers across events. The Service includes tools for role assignment, task management, real-time coordination, AI-assisted board building, and post-event analytics.

OpsBoard is not an employment agency and does not place volunteers. We provide coordination software only. All volunteer relationships are between the Coordinator and their volunteers.

3. Accounts and Registration

To use the Service as a Coordinator, you must create an account. You agree to:

  • Provide accurate and complete information when creating your account
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorized use of your account
  • Be responsible for all activity that occurs under your account

You must be at least 18 years old to create a Coordinator account. By creating an account, you represent that you meet this requirement.

4. Payment and Refunds

OpsBoard charges a per-event fee based on the tier you select (Pop-up, Festival, or Production). Fees are displayed at checkout and are charged in USD via Stripe.

All payments are non-refundable once your event board is activated. If you encounter a technical issue that prevents you from using the Service for your event, contact us at nacariheron@gmail.com within 7 days of your event date for review.

OpsBoard reserves the right to change pricing at any time. Price changes will not affect events already paid for.

5. AI Features

OpsBoard uses third-party AI models (Anthropic Claude) to generate event boards, answer volunteer questions, and produce post-event summaries. You acknowledge that:

  • AI-generated content may be inaccurate, incomplete, or unsuitable for your event
  • You are responsible for reviewing and approving all AI-generated roles, tasks, and SOPs before publishing your event
  • AI responses to volunteers are based on the context you provide and may not reflect real-world conditions
  • OpsBoard does not guarantee the accuracy or fitness of AI-generated content for any specific purpose

6. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable laws or regulations
  • Transmit harmful, offensive, or illegal content
  • Impersonate any person or entity
  • Interfere with or disrupt the Service or its infrastructure
  • Attempt to gain unauthorized access to any part of the Service
  • Use the Service for events involving illegal activities
  • Collect or harvest user data without authorization
  • Use automated tools to abuse AI features or circumvent rate limits

7. Volunteer Data

As a Coordinator, you collect volunteer information (name, email, role assignment) through the Service. You are solely responsible for:

  • Obtaining any necessary consent from volunteers for data collection
  • Complying with applicable privacy laws (GDPR, CCPA, etc.) with respect to volunteer data
  • Ensuring volunteers are informed about how their data is used
  • Not collecting data beyond what is necessary for event coordination

OpsBoard processes volunteer data on your behalf as a data processor. See our Privacy Policy for details on how we handle data.

8. Intellectual Property

OpsBoard and its original content, features, and functionality are owned by OpsBoard and are protected by intellectual property laws. You may not copy, modify, distribute, or reverse engineer any part of the Service.

Content you create through the Service (event descriptions, SOPs, role names) remains yours. By submitting content, you grant OpsBoard a limited license to store and display it for the purpose of operating the Service.

9. Limitation of Liability

To the maximum extent permitted by law, OpsBoard shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service, including but not limited to event failures, volunteer no-shows, data loss, or AI-generated content errors.

Our total liability to you for any claim arising from use of the Service shall not exceed the amount you paid to OpsBoard in the 12 months preceding the claim.

10. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, express or implied. OpsBoard does not warrant that the Service will be uninterrupted, error-free, or that defects will be corrected. We do not warrant the accuracy of any AI-generated content.

11. Termination

OpsBoard may suspend or terminate your account at any time for violation of these Terms. You may cancel your account at any time through your account settings. Upon termination, your right to use the Service ceases immediately.

Event data is retained for 90 days after account termination and then permanently deleted.

12. Changes to Terms

We may update these Terms at any time. We will notify you of material changes by posting the new Terms with an updated effective date. Continued use of the Service after changes constitutes acceptance of the new Terms.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of the United States, without regard to conflict of law principles. Any disputes shall be resolved in binding arbitration, except for claims that qualify for small claims court.
